About the Role:

Our Behavioral Health Division is seeking a dedicated and detail-oriented Department Assistant to join our team. In this vital front-line role, you'll be the first point of contact for clients, providing exceptional customer service and administrative support.

What You'll Do:

  • Work 40 hours per week, 52 weeks a year (some evenings as needed)
  • Welcome clients and visitors and provide a positive first impression.
  • Answer, screen, and direct phone calls professionally.
  • Check clients in and out for appointments efficiently.
  • Schedule appointments and assist with managing calendars for staff and programs.
  • Support daily administrative operations, including processing documents, managing mail, maintaining schedules, and organizing program information.
  • Process payments for services provided.
  • Enter data and maintain accurate client records.
  • Uphold confidentiality and follow HIPAA guidelines at all times.
  • Operate office equipment and utilize Microsoft Office programs effectively.
  • Travel occasionally to satellite offices in surrounding counties as needed.
  • Collaborate across departments and communicate regularly with program staff to understand needs and priorities.
  • Represent the agency professionally while maintaining the highest level of confidentiality.
  • Participate in required meetings, training sessions, and public-relations activities.
  • Perform additional duties as assigned to support program and agency operations.
  • Assist with special projects, organize workload efficiently, and provide regular updates to your supervisor.

What We're Looking For:

  • Business or associate degree or 3 to 5 years of related job experience
  • Excellent customer service skills.
  • Strong oral and written communication skills
  • Effective organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Prior knowledge of computer software, office equipment, and Microsoft Office programs preferred
  • Access to reliable transportation
  • Must obtain the following clearances prior to hire: PA State Police Criminal History, PA Child Abuse History, FBI Criminal History, and Mandated Reporting Certificate
