About the Role:

Our Behavioral Health Division is seeking a dedicated and detail-oriented individual to join our Records Department. In this role you will be responsible for requesting, obtaining, and managing patient records from internal and external providers to support continuity of care.

What You'll Do:

  • Maintain and organize physical and electronic records, ensuring accuracy, security, and timely access
  • Process records requests, including obtaining, tracking, and verifying authorizations for patient information
  • Scan, index, file, and upload documents into electronic systems (EHR)
  • Communicate professionally with staff, management, and external partners to fulfill records requests
  • Ensure compliance with confidentiality laws, including HIPAA and applicable federal/state regulations
  • Monitor record retention schedules and coordinate proper archiving or disposal
  • Respond to internal and external inquiries and support audits, inspections, and legal requests
  • Maintain databases, logs, and tracking systems for records and requests
  • Collaborate with records staff, clinicians, and program teams to prioritize workload and meet organizational needs
  • Attend required meetings, trainings, and professional development activities
  • Represent the agency professionally while maintaining strict confidentiality
  • Assist with special projects and perform additional duties as assigned

What We're Looking For:

  • Business or associate degree or 3 to 5 years of related job experience
  • Excellent customer service skills.
  • Strong oral and written communication skills
  • Effective organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Prior knowledge of computer software, office equipment, and Microsoft Office programs preferred
  • Access to reliable transportation
  • Must obtain the following clearances prior to hire: PA State Police Criminal History, PA Child Abuse History, FBI Criminal History, and Mandated Reporting Certificate
